TERMS & CONDITIONS
1.0 Definitions
1.1 “Inventory Clerk” means an employee of E-ventories
1.2 “Report” means any document prepared by E-ventories on behalf of a client. This includes an inventory report, check-in report, check-out report, mid-term or interim inspection report
1.3 “Instructing Party” means any landlord, estate agent, tenant or other instructing party which provides instructions to E-ventories to commission a Report
2.0 Services
2.1 The Report provides an unbiased record of (i) the contents of the property, (ii) the condition of the contents, (iii) the cleanliness of the contents and (iv) the state of the decor as at the date of the report.
2.2 The Report is undertaken by an Inventory Clerk acting as an independent third party. The Inventory Clerk is not a qualified surveyor, nor an expert in antiques, fabrics, woods, metals etc. The Report is not an accurate description of every piece of furniture and equipment, nor is it a structural survey and cannot be relied upon as such. An opinion as to whether the items recorded in the Report are replica, reproduced or genuine is not being offered.
2.3 The Report is not a guarantee of, nor a report on, the functionality or safety of any of the properties contents, but merely a statement that the contents were viewed in the property at the time the Report was undertaken.
3.0 Instructions
3.1 E-ventories can take instructions by telephone or email. Once an instruction to prepare a report is received, then an agreement is deemed to exist between E-ventories and the Instructing Party pursuant to these terms and conditions.
3.2 Bookings can often be accommodated at short notice, but it is advisable to provide as much notice as possible to secure the time slot that you require. It should be noted that it is particularly busy around the beginning and end of each month-and also on Saturdays. The Instructing Party is likely to obtain more flexibility on appointment times and dates if appointments are arranged outside of these times.
3.3 If the Instructing Party appoints an agent to act as their representative, it is the responsibility of any such Instructing Party to advise their client of these terms and conditions. Where an email address is provided by the client, E-ventories will send a confirmation email to the email address provided confirming the booking.
4.0 Opening Hours
Our operational hours are from 9.00am to 5.00pm on Mondays to Fridays, and 9am to 3.00pm on Saturdays. We are closed on Sundays and bank holidays. It may be possible to arrange out-of-hours appointments (evenings, Sundays or bank holidays) subject to prior agreement with E-ventories.
5.0 Sending the Report
5.1 E-ventories is committed to providing a green and paperless service to our clients. Accordingly, we encourage all of our clients to make bookings online via the ‘Book inventory’ tab and we issue reports electronically.
5.2 E-ventories is committed to providing reports within two working days of the visit to the property whenever possible. If you require the completed report urgently please advise E-ventories at the time of booking in order to accommodate your request.
6.0 Amendments
6.1 Minor amendments to a Report are free of charge and are sometimes required. If you require any amendments to be made, please contact E-ventories by email within 7 days of receiving the Report.
6.2 If substantial amendments to a Report are required (e.g. because the property has since been renovated or cleaned), E-ventories must revisit the property in order to inspect the changes before amending the report in which case additional charges will apply.
7.0 Fees
7.1 Current charges are set out on the E-ventories website. Prices vary according to the size of the property.
7.2 No VAT is payable.
7.3 If the property has more bedrooms than discussed at time of the booking, we reserve the right to increase pricing accordingly. Prices set out on www.e-ventories.co.uk reflect unfurnished properties. There will be no additional charges for furnished properties unless they are heavily furnished above the norm.
7.4 Payment can be made by any of the following methods:
7.4.1 Bank payment to E-ventories business account, details supplied on emailed invoice.
7.4.2 Cash given to the clerk on the day.
7.5 It is the responsibility of the Instructing Party to settle payment for any reports or charges incurred. Payment of invoices is to be made strictly within 14 days of receipt.
7.6 E-ventories reserves the right to withhold a Report until the payment is received in full from the Instructing Party.
8.0 Exclusions
8.1 Please note E-ventories takes the health and safety of our employees very seriously. The Inventory Clerk will not undertake appointments under any circumstances in which they feel threatened, unsafe or in danger in any way whatsoever.
8.2 The Instructing Party has a duty of care to ensure that the property is safe and to identify any potential hazards around the property that should be avoided. Please also note the following exclusions:
- No requirement to inspect loft areas.
- No requirement to inspect cellars unless they are accessible by a staircase, properly lit and they constitutes a proper room which is to be included in the tenancy.
- No requirement to inspect infested properties (e.g. with rodents, insects etc).
- No requirement to move heavy items of furniture including appliances, beds and sofas.
- No requirement to inspect any cupboard or storage areas above reasonable head height.
- No requirement to read meters above head height (please note that we may be able to take a picture of the meter in such cases and take the reading from that, depending on the circumstances).
- No requirement to inspect locked rooms or packed boxes
- Gas is not tested. Under no circumstance will the Inventory Clerk be able to provide a qualified opinion of the property gas safety profile or the property electrical safety profile. It is not the responsibility of E-ventories to schedule an inspection from a Gas Safe registered engineer.
- No requirement to ensure items comply with the Furniture and Furnishings (Fire Safety) Regulations. Comments found in the inventory such as FFR label seen (or similar) give no guarantee of the items compliance with the Furniture and Furnishings (Fire Safety) regulations.
9.0 Cancellation Policy
9.1 By agreeing to accept an appointment from an Instructing Party, E-ventories is reserving a time slot and turning away other potential business from that time slot. Therefore, if the appointment is cancelled for any reason the following charges will apply (change to appointment time/day will not incur a charge, subject to availability):
9.1.1 No notice of cancellation will result in a full fee charge payable to E-ventories.
9.1.2 If the visit must be cancelled on the day of the appointment 50% of the fee will be payable within 14 days. If payment is not received within this period E-ventories will charge the full fee.
9.1.3 If the visit is cancelled with 24 hours’ notice prior to the appointment time, no fee will be payable.
10.0 Complaints
We do everything we can to ensure our clients are happy with our service but if you are not satisfied and you wish to raise a complaint then you should send your concerns in by email to kgill@e-ventories.co.uk. Your complaint will be investigated and a proposed resolution/decision will be sent to you within 14 days of receipt.
